Company/Position Overview
Specific duties include:
Assist in monitoring and directing day-to-day operations to ensure that facilities organizational policies and procedures are being followed, that goals and objectives are met, and that services and projects are being accomplished effectively and efficiently.
Assist with the maintenance, enhancement, and updating of the J4 Division's SharePoint site. Ensure work requests are monitored, fulfilled, and actions are correctly documented.
Assist with development, implementation, and ongoing management of a comprehensive key control program ensuring documentation and tracking of all facility keys is accurately maintained.
Process parking requests and government vehicle usage for government personnel, ensuring proper documentation is completed and requests are processed in a timely manner with accurate feedback to requestor.
Maintain organizational security access control system, processing access requests that may include issuing access control cards and keys. Ensure all required documentation is properly completed, submitted, and tracked prior to granting new access.
Provide telecommunications support by tracking all telephone service requests, communicating support needs to offsite system administration, and following up with requestors to ensure needs were satisfied. Duties will also include assisting personnel with voice mailbox setup and use of telephone system.
Assist with the establishment and maintenance of space records, plans, files and charts for effective space management, ensuring the geographic location of all employees and vacant spaces are accurately depicted. Conduct periodic quality surveys to ensure accuracy of data.
Collect, analyze, and report data relative to the management of project objectives, project constraints (scope, schedule, cost, quality, etc.), project risk, and coordination of project resources.
Supports development and adoption of standard operating procedures (SOPs) to formalize processes and standards.
Assist with the development of briefings and/or trainings.
Manage various spreadsheets, assist in the preparation of meetings, take and disseminate meeting minutes, and maintain staff training files.
Mandatory Qualifications (Education, Certifications, Experience, Skills)
Strong verbal and writing skills.
Ability to effectively communicate directly with peers, managers, and clients while leading development to a completed and successful customer service solution.
Strong organization skills to manage multiple timelines and complete tasks quickly within the constraints of clients' timelines and budgets.
Ability to lift up to 25 lbs.
Clearance Required: Public Trust clearance may be required.
Education: Bachelor's degree or equivalent experience
Desired Qualifications (Education, Certifications, Experience, Skills)
Ability to effectively develop and edit concise technical and general documentation utilizing the Microsoft Office Suite, with particular emphasis on Excel and PowerPoint. Prior experience with Microsoft SharePoint is a plus.
2
years' experience in Project/Operations and/or Facilities Management support (or related area). Experience in DoD/Government environment a strong plus.
